Privacy information for business outreach

Last updated: 13 October 2026

Who is responsible

We are Will Taylor Ltd (company number 16766551), registered in England and Wales. We are responsible for the business outreach described on this page. Our registered office is 4 Austen Walk, Eastbourne, England, BN23 7TN. Contact Will Taylor at willtaylormusician@gmail.com. This notice covers consulting prospect research and email correspondence; it does not describe every other use of data on this website.

What information we use and where it comes from

To decide whether our organic social media consulting may be relevant to a UK business, we may record its name, website, public social media content and a published business email address. Where useful, we may also record a staff member's public name, job title and business affiliation. We obtain these details from the business's own website and public social accounts, Companies House, and other publicly accessible business material. We record the specific source for each prospect. We do not buy contact lists or use private contact details.

If someone replies, we also keep the correspondence, its date and any request for a meeting, information or no further contact.

Why we use it

We use these details to assess whether a single, relevant first-contact email about organic social media consulting may be useful, route it to the right business contact, avoid duplicate messages, handle replies and honour objections. We do not send automated follow-up emails. We do not use these details for paid advertising targeting or sell them to others.

Where we use a person's data, our lawful basis is legitimate interests: developing our consulting business through proportionate contact with relevant companies and preventing unwanted repeat contact. We assess the need for each named contact against that person's rights and reasonable expectations before using the details. We do not make solely automated decisions about individuals that have legal or similarly significant effects.

Who receives the information

We use Google Gmail for the campaign mailbox and OpenAI Codex to help research, draft, manage records and produce reports. These providers may process the data to supply those services. A recipient business receives only the outreach email addressed to it. We do not share prospect lists for third-party marketing.

Processing outside the UK

Google and OpenAI may process information outside the UK, including in the United States. Google says it relies on UK adequacy regulations, the UK Extension to the EU–US Data Privacy Framework for certified US organisations, and standard contractual clauses where needed. OpenAI says it relies on UK adequacy regulations or standard contractual clauses with the UK Addendum where needed. Their published explanations are at https://policies.google.com/privacy/frameworks and https://openai.com/policies/eu-privacy-policy/. Contact us at willtaylormusician@gmail.com for information about safeguards relevant to your data or how to obtain a copy.

How long we keep it

We review uncontacted named prospects within one month of collecting their details. If we cannot provide the required privacy information or establish an applicable exception, we delete those personal details. For prospects we contact who do not reply, we delete the personal details within 12 months of the email. We review correspondence after 12 months and keep it longer only while an enquiry, client relationship, dispute or legal obligation makes that necessary.

If you ask not to be contacted, we retain the minimum company name and email address needed to prevent further outreach for as long as this campaign runs. We do not use the suppression record to market to you.

Your rights

You can object to direct marketing at any time. Reply to an outreach email or write to willtaylormusician@gmail.com. We will stop using your personal data for marketing and record the minimum details needed to honour your request.

You may also ask to see, correct or erase your personal data, or to restrict its use, where those rights apply. You can complain to the UK Information Commissioner's Office at https://ico.org.uk/.
